Administrative Overhead Costs for WNPS Projects Funded by Grants

Purpose

Special projects sponsored by the Washington Native Plant Society or by chapters of the Society and funded by outside grants provide worthwhile opportunities to advance the goals of the Society and to provide volunteer opportunities for WNPS members and the community.

Administering the grants for these projects, however, requires the resources of WNPS. Unless this necessary administrative overhead is provided in the grant or out of other additional resources, the core functions of the organization are sacrificed to provide for special, short-term projects to the detriment of the organization and the membership.

The purpose of this policy is to provide a uniform policy for WNPS to deal with administrative overhead costs of special projects.

Policy

In applying for grants or other special funding for projects, WNPS requires administrative overhead costs be covered* either within the grant budget or from other sources.

These administrative overhead costs include but are not limited to:

If a grant will not cover administrative overhead costs or will only cover a portion of the administrative overhead costs, the sponsoring chapter will be expected to make up the difference.

WNPS State Board May Waive the Overhead Costs

Under special circumstances, the WNPS State Board of Directors may elect to waive the administrative overhead costs by majority vote at a regular board meeting.

Estimated Costs

* A minimum of 20% of the total budget of the project is a current accurate estimate of these costs.
